Washcloud ("Washcloud Ltd.", "we", "our", or "us") respects your privacy and is committed to protecting your personal data. Washcloud provides SaaS laundry management software designed to streamline operations and protect revenue through ironclad security and radical transparency.
This Privacy Policy explains how we collect, process, and protect personal data when you visit our website (the "Site") and use our application and services (collectively, the "Services").
Our Role in Data Processing:
- As a Data Controller: We are the data controller for the information provided by the businesses (the "Store Owners" or "Subscribers") who register to use our Services.
- As a Data Processor: When Store Owners input data regarding their own customers (the "End-Users") into our system, Washcloud acts purely as a Data Processor. Store Owners are responsible for obtaining the necessary consent from their End-Users to process their data, including capturing condition photos.
2. The Data We Collect About You
We may collect, use, store, and transfer different kinds of personal data, which we have grouped together as follows:
- Identity & Contact Data: First name, last name, business name, billing address, business physical address, email address, and phone number when you register for an account.
- Financial & Transaction Data: Details about payments to and from you, and other details of products or Services you have purchased from us. (Note: We use PCI-DSS compliant third-party payment processors like Paystack or Stripe. We do not store full credit card numbers on our servers).
- Operational & Visual Data (Camera Engine): Data processed through our platform to provide our Services, including transaction histories and high-resolution garment condition photos captured via our proprietary camera engine.
- Technical Data: Internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types, operating system, and platform.
- Usage Data: Information about how you use our Site, App, and Services, including feature interactions and diagnostic data.
- WhatsApp Business API & Messaging Data: When you connect your WhatsApp Business account via Meta Embedded Signup, we receive and securely store your WABA_ID, Phone_Number_ID, and system access tokens. We process your automated order updates and custom messages solely to route them through the Meta network for delivery to your End-Users. We do not sell, mine, or use your End-Users' messaging data for our own purposes.
3. How We Use Your Information
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- Performance of a Contract: To provide, operate, and maintain our SaaS platform, manage multi-branch scaling, configure workflows, and process transactions.
- Legitimate Interests: To improve our platform, eliminate operational friction, troubleshoot issues, perform data analytics, and develop new features to serve the global cleaning industry.
- Communication & Support: To provide customer support, respond to inquiries, and send related information, including security alerts and digital receipts.
- Marketing: With your consent, we may communicate with you about updates and promotional offers. You can opt out of marketing messages at any time.
4. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to track activity on our Services and hold certain information. Cookies are files with a small amount of data which may include an anonymous unique identifier. We use:

- Analytical/Performance Cookies: To recognize and count the number of visitors and see how visitors move around our app.

- Service Providers: We share data with trusted third-party vendors who assist us in operating our platform, such as cloud hosting providers (e.g., AWS/Google Cloud), email delivery services, and payment processors.
- Meta Platforms, Inc.: As an integrated Tech Provider, operational data necessary to deliver automated WhatsApp notifications on your behalf is securely routed through Meta's API.
- Business Transfers: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
- Legal Requirements: We may disclose your information if required to do so by law, to enforce our agreements, or to protect the rights, property, or safety of Washcloud, our customers, or others.
6. International Data Transfers (Global Scale)
As a platform engineered for global scale, your information, including Personal Data, may be transferred to—and maintained on—computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.
Whenever we transfer your personal data out of your jurisdiction (such as out of the UK, EEA, or Nigeria), we ensure a similar degree of protection is afforded to it by implementing appropriate safeguards, such as Standard Contractual Clauses (SCCs) or hosting data in countries deemed to provide an adequate level of data protection by relevant authorities (such as the NDPC or the European Commission).

Securing your data is a core value at Washcloud. We implement a variety of enterprise-grade administrative, technical, and physical security measures to protect your personal data.
Camera Engine Privacy: All condition photos and customer data captured at the counter are securely encrypted and tied exclusively to your specific storefront. We do not share customer operational data between competing businesses.
While we use commercially acceptable means to protect your personal data, no method of transmission over the Internet is 100% secure.
8. Data Retention
We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy, to provide our Services to you, and to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable tax/accounting laws), resolve disputes, and enforce our legal agreements.

Depending on your location (including under the GDPR, CCPA, and NDPA), you have specific rights regarding your personal data:
- The Right to Access: You have the right to request copies of your personal data.
- The Right to Rectification: You have the right to request that we correct any information you believe is inaccurate or incomplete.
- The Right to Erasure: You have the right to request that we erase your personal data, under certain conditions.
- The Right to Restrict Processing: You have the right to request that we restrict the processing of your personal data, under certain conditions.
- The Right to Object to Processing: You have the right to object to our processing of your personal data.
- The Right to Data Portability: You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Our Services are intended for business use and are not directed to anyone under the age of 18. We do not knowingly collect personally identifiable information from children. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers.
